Terms & Conditions

Under Irish Law, I am one of the very few government-approved guides who is qualified to both drive and guide in both limousines and minibuses.

I am fully insured as both a guide and driver and I am also a Certified Occupational First Aider. I am a member of the Association of Professional Genealogists and bound by its code of ethics in addition for any genealogy work.
For the majority of my tours, I use my own touring vehicle, which is a clean, air-conditioned luxury touring Mercedes Viano. It has six 7 passenger seats. With sizeable luggage the ideal capacity is 4 passengers. For bigger groups a larger vehicle can be arranged, and prices are different.
Ireland comparative to some other countries is expensive. However, a small private tour with a professional approved driver guide in Ireland is a special and unique experience.

The places you will see, and visit will be added to by the stories, facts and history I can tell you as well as my know-how on how to best get around. Throughout I will be beside you to answer questions about Ireland and its fascinating culture and history and to make sure you are having the best possible experience.

Driver Guide hours on the road are carefully monitored by our National Roads Authority for safety reasons. It is very important to note that the normal touring day includes my services as a driver guide for up to 8 hours including lunch break. I must stress that longer timeframes are extra and full guided site visits may not be possible or cost more and would need to be decided on the day.

  • Please note that all prices quoted do not include any site entry fees or any food and refreshments unless specifically stated as being included.
  • Costs quoted on this website do NOT include hotels, air fares, lunches, dinners, any internal site entry fees (usually quite small). When a full itinerary is planned, and dates are confirmed I will then add accommodations as required and share a full cost package with you.

Vehicle Rules

Please be aware that during all tours I apply strict government and EU rules about items that are not allowed in the touring vehicle. No meals of hot food or hot drinks (teas, coffees) are permitted. No alcohol, no potato chips of any sort or no chewing gums are permitted, and each vehicle is a NON smoking one.

Ancestral Research

When commissioned I agree to:

  • Make every effort to locate relevant ancestral records in Ireland.
  • Clients should be aware that it may not be possible to locate records due either to non-existence or destruction and / or lack of precise information as to who to look for in the first place.
  • In a case where it is impossible to locate ancestral records, I will say so, and why that is the case, while advancing expert onion as to what possibilities there are for other avenues of research.
  • Present research results and opinions in a clear, well-organized manner.
  • Refrain from withholding, suppressing, or knowingly misquoting or misinterpreting sources or data.
  • Report appropriately qualified genealogical conclusions in writing based on the weight of the evidence with fully and accurately cited sources.
  • Represent my abilities, services, and credentials honestly, avoiding the use of misleading or exaggerated statements.
  • Prepare and abide by written agreements regarding applicable project scope, fees, charges, payment structures, and deliverables without concealment or misrepresentation.
  • Disclose potential conflicts of interest.
  • Maintain confidentiality of client communications and research, except as permitted in writing by the client or required by court or professional disciplinary proceedings.
  • Treat information concerning living people with appropriate discretion.
  • Refrain from violating or encouraging others to violate laws or regulations concerning copyright, rights to privacy, business practices, or other pertinent subjects.
  • Refrain from mutilating, rearranging, or removing from their proper custodians printed, original, microfilmed, or electronic records.
  • Give proper credit to the work of others and refrain from plagiarism.
  • Refrain from soliciting established clients of another researcher through denigration, violation of laws or regulations, or other improper means.

Contracts for Tours

The following terms and conditions apply whether a contract has been made verbally or in writing. Should you have any questions about our Booking Terms and Conditions please phone or email John Ducie on 353872231355 email jducie@gmail.com

Quotations are given on the basis of the most direct route and on information provided by you. The route used will be at our discretion unless you have requested a particular route which will be specified in our quotation. All quotations are given subject to us having a suitable vehicle at the time you accept the quotation. Quotations are valid for 7 days unless otherwise notified.

Once you have received an official quotation, an agreed deposit is required to secure the booking. This deposit should be sent to our offices along with the details of your full requirements for the hire. On receiving your deposit, we will send you confirmation of your hire. You should check the details of the hire carefully and notify us immediately of any errors or changes. Normally written confirmation by us is the only basis for the acceptance of the hire or for subsequent alterations to its terms.

Unless otherwise stated, quotations are given for coach and driver only. Other charges such as admissions and parking charges are not included.

Price Guarantee

The quoted cost of hire is guaranteed providing that the payment schedule for the hire is adhered to and the original structure of the hire is not altered. However, we cannot guarantee the price of third-party suppliers especially such suppliers outside of the Republic of Ireland where prices fluctuate according to currency changes and levies. We will identify in our booking confirmation if we anticipate that third party suppliers will be used.

The balance for all hires is due not less than 10 days prior to the departure date. Any hires received within 10 days of the departure date must be paid for in full at the time of booking. We accept payment by bank transfer, cheque, cash, PayPal, or banker’s draft. Payment by cheque must be received by us not less than 14 working days before the date of departure to allow time for the payment to clear.

Should you wish to cancel your booking, you should telephone us with the cancellation and then follow this up in writing. Our cancellation charges are as shown in the table below:

Cancellation Charges

14 days or more – unless notified some months in advance the booking deposit will be forfeited.
Less than 14 days but not more than 48 hours – case by case basis with a maximum charge of 50% of the total cost of the hire
Less than 48 hours – 100% of the total cost of the hire

Cancellation by Us

In the event of any emergency, force majeure event, or action by you to vary the agreed terms of the hire booking unilaterally, we may, by returning all monies paid and without further or other liability, cancel the contract.

Route/Time Variations

We reserve the right to make an additional charge for any additional mileage or time incurred over and above that agreed in the hire. Any additional charges will be commensurate with the costs incurred by us.

We will depart at times agreed with you and it is your responsibility to account for all passengers at these times. We will not accept any responsibility for any losses incurred by passengers who fail to follow your instructions.

The hours agreed for your tour hire booking must be observed (other than in the case of serious emergency or diversion) so that current regulations governing driver’s hours and rest periods may be complied with. Under no circumstances will we allow your hire to exceed these regulated hours.

Driver Hours

The hours of operation for the driver are regulated by law, and the hirer accepts the responsibility of ensuring that the hirer keeps to the hours and times agreed by the company. Neither the hirer nor any passenger shall delay or otherwise interrupt the journey in such a way that the driver is at risk of breaching regulations relating to driving hours and duty time. If any breach is likely to occur, the hirer will be responsible for any additional costs incurred unless it is outside the control of the hirer.

Use of Vehicle

Unless we have agreed otherwise in writing in advance, the vehicle should not be assumed to remain at any point between the outward and return journey nor to remain available for your incidental use when parked at such points.

Seating Capacity

We will at the time of confirming your hire confirm the seating capacity of the vehicle to be supplied. No more than the maximum number of passengers indicated may be carried on each vehicle.

Vehicle Type

Whilst every effort shall be made to supply an agreed vehicle sometimes such vehicles become unavoidably unavailable. In such cases, we shall supply the highest standard of vehicle available to us at the time, including those of other operators, for all or part of the hire. We reserve the right to provide a larger vehicle than that specified at no extra charge unless any additional seats are used, in which case an additional pro-rata charge will be made.

Breakdowns & Delays

We give advice on journey times in good faith, but we cannot guarantee the completion of any journey at a specific time and will not be liable for loss or inconvenience caused by breakdown, traffic congestion, or other delays outside our control.

Itinerary Changes

From time to time, we may have to change certain aspects of the given itinerary. Wherever possible, such changes shall be notified to you in advance.

Passengers’ Property

All vehicles listed are subject to restrictions on carrying luggage for statutory safety reasons. The driver has full discretion as to the carriage of passengers’ luggage and its storage. Generally, one suitcase plus one small piece of hand baggage per person will be accommodated. We do not accept liability for any damage to or loss of any property which belongs to passengers and is left in the vehicle. All articles of lost property recovered from a vehicle will be held at the depot at which the vehicle is based for three months and will then be destroyed.

Passenger Conduct

In the interest of other passengers, no musical instruments, radios, and/or other audio devices shall be played without permission. Such permission shall be shown on the confirmation, where agreed.

It is strictly forbidden for any person to carry or consume drugs of any description except where such drugs are legally available over the counter without prescription or are prescribed by a doctor. You may be required to produce medical evidence especially when leaving or entering countries.

The driver is responsible for the safety of the vehicle. Any passenger whose conduct is in breach of statutory regulations or is abusive to any person may be removed on the driver’s authority. You will be held responsible for the conduct of passengers and for any damage caused to the vehicle by passengers during the hire. We will not accept liability for damage or loss to any passenger entering or leaving the vehicle whilst in motion.

Under no circumstances may alcoholic drinks be carried or consumed on a vehicle. It is also illegal to carry or consume alcoholic drinks on a vehicle proceeding to or from designated sporting events and permission cannot be given in this case. Other than on a vehicle fitted expressly for the purpose, food, and drink, except for small items of confectionery (such as sweets and chocolate) may not be consumed on the vehicle without our prior agreement or with the permission of the driver.

Smoking (including e-cigarettes) on the vehicle is strictly prohibited at all times.

Please note that vomiting in or soiling of the vehicle will incur a €150.00 cleaning charge.

No animals (other than guide dogs and assistance dogs notified to us in advance) may be carried on any vehicle without our prior written agreement.

No bill, poster, or notice is to be displayed on any vehicle without our prior written consent.

Currency & Passports

It is your responsibility to ensure that you are carrying the correct currency for each country visited along with a current valid passport and appropriate visas for such countries.

Duty-Free and Duty Paid Goods

It is your responsibility alone to ensure that you remain within the current laws with regard to Duty-Free and Duty Paid regulations. We shall not accept responsibility for the delay or confiscation of goods of any offender whatsoever. Copies of these regulations are obtainable from every place of departure from Ireland. The driver shall decide on the amount of heavy goods that the vehicle can legally carry. His decision is final.

Travel Insurance

It is not compulsory to take out travel insurance although we highly recommend that you do especially when traveling outside of the Republic of Ireland. Please note that it is your responsibility alone to ensure that you are insured adequately and that you have the correct travel documents when traveling outside of the Republic of Ireland.

Our Responsibilities

We shall perform the terms of the hire as specified in the confirmation. We accept responsibility for acts and/or omissions of our employees. We carry full indemnity insurance cover for any death or personal injury of any passenger or third party arising as a result of the hire.

Complaints Procedure

We can normally agree amicably on complaints that we receive. Should you have any reason to complain during the hire, you should firstly notify the driver or our representative who will endeavor to rectify the problem. If the matter cannot be resolved to your satisfaction, details of the complaint should be made in writing within 14 days of the hire. We will acknowledge all complaints within 14 days and will normally reply within 28 days.

The contract between us is defined by these booking terms and conditions and our written confirmation following receipt of your deposit.

Unless you inform us otherwise in writing you are deemed as having accepted these terms and conditions of hire in full, it is the responsibility of the hirer to make their group aware of the conditions.
